Sync is not the same as backup
Cloud sync keeps files available across devices. That is convenient, but it can also spread mistakes. If you delete a folder on one device, the deletion may sync to every device. A real backup should include version history, deleted file recovery, and a restore process that works even when your main device is lost.
Many people need both: sync for active files and backup for protection. Do not assume one cloud folder solves every problem.
Think about recovery before storage size
Storage plans often advertise gigabytes or terabytes, but recovery matters more. Can you restore an earlier version of a file? How long are deleted files kept? Can you restore many files at once? What happens if your account is locked or your phone number changes?
A cheap large plan is less useful if recovery is confusing during a stressful situation.
Privacy depends on encryption and account security
Most reputable providers encrypt files in transit and at rest, but the provider may still be able to process files for search, previews, sharing, abuse detection, or account recovery. If you store sensitive documents, review whether the provider offers end-to-end encryption or consider encrypting files before upload.
Account security is just as important. Use a unique password, multi-factor authentication, and recovery codes. A private cloud plan does not help if someone can reset your account through a weak email password.
Sharing links need maintenance
Cloud sharing is easy to forget. Review public links, shared folders, and collaborators every few months. Remove access for old projects, former colleagues, and temporary shares. Use expiration dates or view-only access when available.
For family photos, school files, or business documents, clear folder names and permissions prevent accidental exposure.
Watch for provider lock-in
Some services work best inside one ecosystem. That can be comfortable if all your devices match, but it can make switching harder later. Before committing years of files, check export tools, desktop access, web access, and how files appear outside the provider's apps.
Build a practical cloud plan
- Use sync for current working files.
- Use backup or version history for protection from deletion and ransomware.
- Use encryption for sensitive archives.
- Review shared links regularly.
- Keep an offline backup of irreplaceable files.
